Overview

Why events in Salzburg need their own logistics

Salzburg is small but dense. Only a few kilometres separate the airport, the Messezentrum, the Congress and the old town, yet those kilometres decide whether a trade fair day starts calmly or in a queue on Innsbrucker Bundesstrasse. When a conference is running at Congress Salzburg, Festival audiences are heading for Hofstallgasse and winter Saturday ski traffic is rolling along the A10, taxi ranks empty and parking disappears. Anyone moving guests, speakers or clients in those weeks needs vehicles that are firmly committed.

VPC Premium Transfer handles these journeys for exhibitors, organisers, agencies and corporate clients. That ranges from a single board member landing on an early flight who has to be on the stand by nine, to a shuttle loop for an evening gala with forty guests, where several vehicles run on a schedule between three hotels and the venue. You get one fixed contact, an agreed journey list and chauffeurs who know how the Salzburg venues are approached.

Billing follows the shape of the event. Individual transfers, such as airport to hotel or hotel to Messezentrum, run at a flat rate you can see upfront in the booking calculator. For days with many short hops, waiting time or an open end there is hourly booking: the chauffeur stays with you and the vehicle, waits outside the venue and drives whenever and wherever you need. Corporate clients can receive a single consolidated invoice per event.

How it works

From guest list to journey list

  1. 01

    Send the key facts

Date, venue, approximate headcount and whether you need single transfers, a shuttle loop or hourly booking. A rough list is enough for a first offer.

  2. 02

    Journey plan and offer

We propose vehicles and times, price flat rates and hours, and agree pickup and drop-off points at the venues.

  3. 03

    Names and flight details

Shortly before the event we receive names, flight numbers and hotels. We take changes by phone or WhatsApp right up to the last minute.

  4. 04

    Delivery and invoicing

A dispatcher stays in contact with every chauffeur during the event. Afterwards you receive one invoice listing every journey.

Typical routes

Flat rates to the venues

The single journeys booked most often for trade fairs and conferences in Salzburg. For days with several trips, hourly booking usually works out better.

The venues and their quirks

Messezentrum Salzburg sits in the Liefering district, close to the A1 motorway and next to the Salzburgarena. From the airport it is about ten minutes, from the old town fifteen to twenty depending on traffic. On big fair days the approach backs up between eight and ten in the morning. We therefore schedule exhibitors who must be on their stand before opening earlier, and drop guests at the entrance nearest their hall instead of at the crowded main car park.

Congress Salzburg stands on Auerspergstrasse, right by the Mirabell Gardens and a few minutes' walk from the main station. The street is narrow: a brief stop at the entrance is fine, longer waiting is not. With hourly booking the chauffeur therefore waits nearby and pulls up when you call. Coming from the main station, walking is often quicker, but for guests with luggage or in evening dress the short ride is still worth it.

During the Salzburg Festival in summer, Mozart Week in January and the Easter and Whitsun festivals, traffic around the Festspielhaus on Hofstallgasse is managed differently. Drop-offs are regulated, and the Staatsbruecke and Neutorstrasse fill up before curtain-up. For the return we agree a fixed meeting point within walking distance, so after the final applause you are not searching among hundreds of waiting cars.

For evening events outside the city, for example in castles around Salzburg, at Lake Fuschl or at Hangar-7 by the airport, we recommend a shuttle plan: several vehicles, fixed departure times at the hotels and a late return in two or three waves. That way the first guests get to bed early and nobody has to wait for a free taxi after midnight.

Executive and VIP service

When board members, speakers and guests of honour are on board

Events often involve passengers whose schedule is tight and whose appearance matters: a keynote speaker with twenty minutes between two commitments, a delegation from abroad, a client your company has been courting for years. For these journeys we assign executive chauffeurs who have handled exactly these situations. They wear dark suits, speak German and English, stay quiet unless spoken to and treat everything said in the car as confidential.

Vehicles follow the occasion. For individual guests and small groups we drive Mercedes sedans in business and luxury class; for groups of up to eight, the V-Class with facing seats, where a meeting can still be prepared on the way. Water and charging cables are on board. Anyone carrying confidential documents or presentation equipment can leave them in the vehicle while the chauffeur waits.

For VIP arrivals at Salzburg Airport, the chauffeur meets the guest with a name sign in the arrivals hall, takes the luggage and walks them to the car. The same applies to guests flying via Munich or Vienna, and we track the flight and adjust the pickup for delays at no extra cost. When a guest is on the way to the venue, we can message your team as the car sets off and again shortly before it arrives, so someone is ready at the entrance.

For corporate clients with regular events in Salzburg we keep the key details on file: preferred vehicles, billing address, cost centres and contacts. For the next trade fair a short message with dates and names is enough. Business travel outside events, such as site visits, roadshows or meetings in Munich and Vienna, runs on the same terms.

From dispatch

What really matters for event transport in Salzburg

VPC Chauffeur-Team

Dispatch and chauffeurs, VPC Premium Transfer

Most event problems happen not on the road but in the list. A guest lands in Munich instead of Salzburg, a speaker arrives a day early, a hotel is swapped at short notice. That is why we work from one journey list that we reconcile with you, and one phone number that reaches dispatch for the whole event.

Our second piece of advice concerns return journeys. Galas and dinners rarely finish on time. If you book one vehicle for a fixed time, you end up with either waiting guests or a waiting chauffeur. With hourly booking or two return waves it stays flexible, and the cost is still clear in advance.

FAQ

Frequently asked questions about trade fair and event transfers

Can't find your answer? Message us on WhatsApp – we typically reply within minutes.

WhatsApp
How far is Messezentrum Salzburg from the airport?+

About six kilometres, roughly ten minutes without traffic. On big fair days we allow extra time in the morning.

How much does hourly booking with a chauffeur cost?+

A sedan costs €70 per hour for three to four hours, €65 for five to six hours and €60 from seven hours. Vans are slightly higher depending on class. The minimum is three hours.

Can you provide several vehicles for a shuttle loop?+

Yes. We plan vehicles, departure times and stops with you and coordinate every chauffeur through dispatch. For larger groups we recommend asking early, especially during the Festival and on fair weekends.

Can you invoice our company?+

Yes. Corporate clients can receive one consolidated invoice per event listing every journey, name and time.

Do you also collect delegates at Munich or Vienna airport?+

Yes, at flat rates and with flight tracking. Many international guests fly via Munich; the drive to the Messezentrum then takes about one hour forty.

What if timings change during the event?+

Call dispatch or send a WhatsApp message. With hourly booking the chauffeur adjusts on the spot; for single transfers we move the pickup as far as the schedule allows.
